Why Your Guest List Matters More Than You Think
Why Your Guest List Matters More Than You Think
(and the One RSVP Detail You Should Never Skip)
By Colleen Sutton, Owner of Richwood on the River
If I could sit down with every couple at the very beginning of their wedding planning journey, there’s one question I would ask before anything else:
“Who’s coming?”
Not your colors.
Not your flowers.
Not even your date.
Your guest list.
Because here’s the truth~after years of hosting weddings at Richwood on the River, I can tell you that your guest list quietly drives almost every decision you’re about to make.
Your Guest List Sets the Tone for Everything
The size and shape of your invite list will influence:
- Your budget
- Your venue choice
- Your catering costs
- Your seating layout
- Your overall experience for the weekend
I’ve seen couples fall in love with a vision… only to realize later their guest count doesn’t support it. Or worse, they’ve over-invited and end up feeling stretched~financially and emotionally~on what should be one of the most meaningful weekends of their lives.
At Richwood, we’re a little different. We host full weekend weddings, and we can sleep up to 50 guests on-site. That makes your guest list even more important~because now you’re not just planning a ceremony… you’re curating an entire experience.
Who do you want waking up with you on your wedding morning?
Who do you want sharing coffee on the porch the next day?
That’s where the magic happens.

Start With Intention, Not Obligation
This part can be hard.
Families grow. Expectations creep in. You feel pressure to invite people because “you should.”
But I always encourage couples to pause and ask:
“If we could only invite the people who truly matter to us, who would be on that list?”
Start there.
You can always expand thoughtfully~but if you don’t begin with intention, your guest list will grow quickly… and often in ways that don’t feel aligned with your vision.
Let’s Talk RSVP Cards (Because This Matters More Than You Think)
Now, once you’ve built your list, there’s one small detail that makes a big difference in how your planning unfolds:
Your RSVP card.
Please~include:
✔️ Accepts with Pleasure
✔️ Declines with Regret
It sounds simple, but it matters.
Here’s why:
- It creates clarity for your guests
- It gives your responses a polished, intentional feel
- It helps you track responses more efficiently
- And honestly~it sets the tone for your entire event
There’s something timeless and respectful about those phrases. They elevate your invitation suite and make the process feel thoughtful rather than transactional.
I’ve seen RSVP cards without clear options, and it leads to confusion, missing information, and a lot of follow-up you don’t want to be doing three weeks before your wedding.
Trust me~future you will be grateful for this one small decision.
Final Thought

Your wedding is not about how many people you can fit into a space.
It’s about how it feels when you’re surrounded by the right people.
So before you book the venue, before you finalize your date, before you dive into the details…
Sit down together.
Pour a glass of wine.
And build your guest list with intention.
Because everything else flows from there.
And if you do it right?
Your wedding won’t just be beautiful…
It will feel like you.
